Onboarding – catalog to data

You receive product catalogs from various suppliers, which you have to integrate into your internal systems, e.g. the PIM or ERP systems. Your suppliers provide these catalogs in different formats, structure them individually and use often their own terminology. Thus, these catalogs have to be “translated” and they have to be mapped to the structures and terminology in your own internal systems. It is of the utmost importance, that only correct data are imported into your systems and that you are able to define the rules for this data transfer.

Basic principle: Mapping

You receive product catalogs from various suppliers, which you have to integrate into your internal systems, e.g. the PIM or ERP system. Your suppliers provide these catalogs in different formats, structure them individually and use often their own terminology. Thus, these catalogs have to be “translated” and they have to be mapped to the structures and terminology in your own internal systems. It is of the utmost importance, that only correct data are imported into your systems and that you are able to define the rules for this data transfer.

Similar to the ecatDesigner, the onboarding tool also uses the principle of mapping: The fields of the incoming supplier catalogs are mapped to the properties in your systems – simply by drag ‘n drop. Thus, the onboarding tool generates from the supplier catalogs the import data for your internal systems. That means for you:

  • Simple import of different supplier catalogs
  • Definition of mappings to control the data transfer from the catalog to internal systems

The onboarding tool can import a magnitude of catalog formats and classification systems. Examples are BMEcat, Datanorm and Excel sheets. We help you to find solutions also for specifically organized supplier catalogs.

It checks the data quality of the supplier data and the compliance to the defined import rules.

Data quality and rule base data import

Based on the mappings, the supplier data can be principally imported. Additional items have to be considered to make the onboarding process a safe and effective one:

Checking correctness of supplier data:

  • Only sound data are to be imported into the internal systems. Thus, checking the quality of incoming data is of the utmost importance.

Compliance to defined import rules:

  • You can define, for instance, which kinds of products are being imported into the internal systems
  • You can define, what happens if an import is changing a field which has been manipulated manually in the internal system.
  • The onboarding tool provides a powerful rule engine which allows you to define such rules which then monitor and regulate the import of the supplier data.

It provides the necessary process support to automate the onboarding of supplier data respecting and integrating your procedures for data approval.

Process support

Onboarding is normally a process which is executed repeatedly: Suppliers can upload their product data, which triggers the automatic quality control that may lead to feedback messages to the supplier. Then the mappings are executed and under control of the defined rules the PIM data is generated and finally transferred into the PIM system. The onboarding tool allows you to define the process steps and to combine them to workflows. This includes the embedding of control steps at various places, and it may also embed manual approval steps where the responsible person has the final decision on which data flows into the internal systems.
